The seminar programme
The seminar programme consists of about 300 curated talks that are all 45 minutes long. As an organiser, you pay a fee of 3 000 SEK (excl. VAT) per talk. If you act as co-organiser, the fee is 3 000 SEK (excl. VAT) per talk. The fee covers the cost of: room, decoration and furniture on stage, tech and technicians, audience ushers, editorial work, admin, marketing in print and online.
Communications and the press
The seminar programme is communicated through an array of channels, among them newsletters, ads and social media. The seminar programme is printed in 30 000 copies and sent to all organiser’s and participants in the seminar programme. The programme is distributed throughout the country.

The communications team at the Book Fair is responsible for press accreditation, booking interview rooms etc. Interviews with participants are booked through you, the organiser.
We are happy to work with you regarding the communications plan for your seminars, participants and publishing. Please contact our head of marketing and communications Martina Johansson in plenty of time ahead of the fair with any ideas or suggestions for co-operation. You will find contact information further down on this page.
Ahead of the Gothenburg Book Fair
As an organiser, you are responsible for keeping your participants informed about their scheduled appearances and the terms for these. You are also responsible for keeping the continuous contact going ahead of the Book Fair.
Information about your participants
In the upper right corner of this page, you can log in to the Organiser’s Portal to administrate your participants. You need to make sure you have provided all important information about your participants and yourselves, the organiser, no later than May 14th.
Booking travel and accommodation
If you, the organiser, have an agreement with the Book Fair regarding travel and accommodation for participants in the seminar programme
If you don’t have an agreement with the Book Fair but still want help booking travel and accommodation for other participants at the fair, you are still welcome to contact Grand Travel at [email protected]
International participants
By mid-May, Grand Travel will contact you regarding international participants, to book travel and accommodation. They will primarily contact the person who you, the organiser, has listed as the point of contact. The Book Fair will book and pay for car transfer from and to Landvetter Airport, if it has been agreed upon with the organiser.
Current books
You will upload book covers here on the Organiser’s Portal, the same as you do with portraits of your participants. Instructions can be found once you’ve logged in.
Tech and accessibility
If you have any special requirements or requests regarding tech and accessibility, such as needing a wheelchair ramp to access the stage, you need to email that information to Matilda Westermark no later than August 24th [email protected]
Posting books
Starting May 28th, we will send a pdf with addresses and instructions to post any relevant books to moderators and other participants in each seminar, so that they can prepare for the talk. It is therefore of the utmost importance that you provide the postal address for each participant.
Seminar card
As an organiser, you will get two single-use seminar tickets per talk that you organise. These can be collected at our service centre on site at the Book Fair. The seminar ticket will grant you entrance to the fair for ONE day as well as entrance to ONE seminar that same day.
The Participant’s Portal – information for your participants
Participants in the Book Fair’s seminar programme gets access to our Participant’s Portal. A link with instructions and information will be sent directly to the participant’s email address. At the Participant’s Portal, participants will find practical information about the Gothenburg Book Fair 2026, as well as information about their personal participation. Medverkandeportalen.
Please note that it is very important that you provide us with an email address that is used by the participant, not a non-specified one.
If your participant needs help booking travel and accommodation, we will email a link to a booking page. The link is sent out on June 9thfrom the email address [email protected] Please remember to check the spam folder if you can’t find the email. Please remind your participants to look out for the email in June.
During the Book Fair
Name badge for participants
Participants of the seminar programme (as well as the stage programmes for Crimetime and Bokmässan by Night) will get a personal name badge which serves as an entrance ticket for all four days at the Book Fair, all seminars and Speakers’ Lounge. The name badge is available for collection from the information desk located in the lobby of Hotel Gothia Towers. The participant will need to show their ID to collect their name badge. Participants will get information about this through the Participant’s Portal.
International guests at the Book Fair
International guests get a name badge that serves as entrance to all four days of the Book Fair, all seminars and Speakers’ Lounge. The name badge is available for collection from the information desk located in the lobby of Hotel Gothia Towers.
If the international guest has a +1 in need of access to Speakers’ Lounge, the +1 needs a blue sticker added to their ticket. You need to inform the Book Fair if this is needed no later than August 24th, by emailing Matilda Westermark [email protected].
Ahead of the seminar
If there is a current book that is being spoken about in the seminar, you as the organiser is responsible for bringing two copies of that book to the room, to be shown on stage. In the room, there is an audience usher that can help with placing the books. Please arrive at the room 15 minutes ahead of the start of the seminar, to hand in the books and to get the participants miced up.
If you want to display a presentation, images or video clips during the seminar, or during a stage talk at Crimetime, you need to hand this in to the technicians in Speakers’ Preview, located in conference room R11 on level 2, ahead of the seminar. The technician will check that the material is in working order with you. Please make sure to visit Speakers’ Preview in plenty of time ahead of the seminar. It is not possible to hand in presentations to the stage technicians in the seminar room.

All seminar rooms are equipped with headsets, handheld microphones, a controller for presentations, a countdown clock and a preview monitor. The title of the seminar as well as the names of all participants and organiser/s will be projected on screen at the start of each talk. If you haven’t handed in a presentation or other image to be shown during the talk, the information will remain on screen throughout the entire seminar.
Recording seminarsIt is possible to record the seminars that you are organising at the Book Fair. There are two packages of recording services to choose from, that both need to be ordered before the event. Make your order by emailing Matilda Westermark [email protected] In the order email, please include the talks that you want to record as well as what package you are interested in. Deadline for ordering package 1: June 22nd. Deadline for ordering package 2: September 10th. Package 1 – full video production: Video producer responsible for installation, disassembly and the full production. 2 remote controlled cameras incl. tripod, stearing and all additional gear needed. Video mixing. Recording device. Possibility to stream through Vimeo. Electricity and wire internet access. Price: 25 000 SEK excl. VAT. Package 2 – your own camera, purchase our audio: Possibility of purchasing audio through XLR (mono) and record the talk with your own camera. Electricity is included in the price. Any special requests regarding the audio is to be made to the technician in the seminar hall. Hand-held camera or other equiptment cannot take up more room than 1 square meter. Price: 2 995 SEK excl. VAT. Rules and regulations regarding recorded material: The customer is fully responsible for all recorded material, including adherence to the General Data Protection Regulation (GDPR), collecting the necessary consent from all participants as well as publishing and spreading of the material on their own channels. The Gothenburg Book Fair is not responsible for the content and/or the usage of the recorded material.
Book signings
There are tables that can be used for book signings outside all of our seminar rooms. The organiser is responsible for the signing, sales and making sure that there are books and any necessary materials available at the table.
